Overview
Reimbursements 2.0 is a full redesign of how Inn-Flow tracks and processes reimbursements between the entities in your portfolio. It introduces a standalone net balance view, entity-to-entity reimbursements, a transaction-aware audit trail, and voucher-based documentation for every reimbursement you create.
What's Different from the Previous Experience
Previously, Reimbursements was accessed from the Register of the Enterprise bank account via the triple-dot Reimburse option, and showed a Reimbursement Summary of what each hotel owed the enterprise. You reimbursed by clicking an EHID row, entering an amount, and selecting a payment method (Check or Manual ACH). That flow is being replaced.

In Reimbursements 2.0:
- Reimbursements is its own landing page - no longer nested inside the Register. You navigate to it directly.
- Entity-to-entity reimbursements. Any entity in your portfolio can be on either side of a reimbursement — not just hotels reimbursing the enterprise. The landing page lists a row per counterparty relationship in your portfolio.
- Net balance per counterparty. Each row shows the net of all activity between the two entities, rather than a one-directional amount owed.
- Transaction-level detail. You can see exactly which transactions make up the balance between two entities, and each reimbursement is tied to the specific transactions it covers. Previously, a reimbursement was just a dollar amount with no visibility into what it paid for.
- Partial reimbursements. Because reimbursements are now tied to specific transactions, you can reimburse a subset of the balance by selecting exactly which transactions to include. The remaining transactions stay on the counterparty row until they're reimbursed later.
- Voucher. Every reimbursement produces a printable voucher showing exactly which transactions were included and the resulting GL/COA impact.
- Audit guarantees. Transactions linked to an active reimbursement cannot be silently edited - the reimbursement must be voided or deleted first.
- Updated reports. Balance Sheet, Trial Balance, General Ledger, and Cash Flow report outputs have been updated to reflect the new model.
What's Not Changing
- Reimbursements continue to operate between entities in the same portfolio.
- Payment methods (Check, Manual ACH) continue to route to the Payments tab once the reimbursement is created.
- Posting logic to the COA/GL remains consistent with your existing setup (the same accounts are used as before).
- Permissions continue to be based on the EHIDs you have access to.
