Visual Matrix Instructions
As part of the Night Audit process, there are 2 files that should be setup to email to Inn-Flow once audit is ran.
Part 1 – Email Address Setup (only done one time)
We first must add the Inn-Flow email address to the Email Directory in Visual Matrix for the property. Click on the User Settings in the blue header then Add.
In the Name, type Inn-Flow. In the Email, fill in the below email address:
HID#_VMPMS-PMS@inn-flow.net (Each hotel has its own email, do not use this one)
This can be provided from the Inn-Flow Support Team
Then select the Daily Report and Mkt Seg then Save.
Part 2: Generate Reports (must be done nightly)
Moving forward, as part of the Night Audit process, follow the below instructions:
Under Accounting > Night Audit > After the Run Audit process is over, you’ll be taken to the Reprint Reports tab.
In the Reprint Reports page, for both the Daily Report and the Market Segment Report:
Check the Email checkbox then change the Email Format from PDF to MSExcel

Then select Generate Reports
By selecting the Generate Reports button, the files selected are emailed to the email address setup in Part 1 of the instructions.
Be sure to complete the Generate Reports steps on a nightly basis in order for the files to be sent to Inn-Flow.
In Inn-Flow, wait approximately 1 hour for the files and information to appear in Inn-Flow.
If a red box appears with Auto Import Errors in Daily Activity, please contact Inn-Flow Support so that we can take care of the error so that it imports correctly moving forward.
Complete the Night Audit Checklist and the Manager Approval.
