See below for best practices during the Onboarding Process of ePay:


1. Ensure that all Invoice Images are uploaded. The ePay partner does receive links to the invoice images to pull this information, so if the invoice is not uploaded, and there's questions, they're unable to pull anymore information.


2. Ensure that in the Inn-Flow Vendor Profile that the correct Customer / Contract # is applied. Sometimes if vendors are imported into Inn-Flow, the Customer # may not be accurate if it was missing from the import. 


3. In the Vendor page in Inn-Flow, you can change the payment method for multiple vendors in bulk using the check boxes on the left.





ePay Onboarding Timeline


When ePay has been activated for your company, see below for expectations on the timeline:


1. In Inn-Flow's Payments page, when you click Pay for invoices, the ePay vendor will receive a file that day at 4pm Eastern. This file will include a link to the invoice images and vendor information. If your Vendor Account number is not correct, or matches the Hotel ID, i.e. not correct, then the ePay vendor will send the payment without the correct information.


2. The ePay Vendor will start building vendor profiles and start contacting the vendors while the funds are clearing the operating account. If they have not successfully reached the vendor in two-days, the payment will be sent via a check. In this timeline, if you processed the payment in Inn-Flow on a Thursday, if the ePay Vendor has not made contact with the vendor by Tuesday, a check will be cut on Wednesday and placed in the mail on Thursday. 


As you're onboarding, if there are any invoices that need to be paid right away, pay these invoices the original method.
